Inviting Members

Invite colleagues to your MailShield organization so they can see your domains, reports and alerts.

Requires: owner or admin. The Free plan allows 1 member (the owner), so inviting people needs Pro.

Send an Invitation

  1. Go to Settings → Team.
  2. Click Invite Member.
  3. Enter the person's email address.
  4. Choose a role: Member or Admin. See Roles for what each can do.
  5. Click Send Invitation.

The invitation appears under Pending Invites. You can't invite someone as an owner: to hand over the organization, transfer ownership instead.

Accepting an Invitation

The invited person gets an email with a link to join the organization. The link expires after 7 days. They:

  1. Click the link in the email.
  2. If they aren't signed in, click Sign In to Accept and sign in with the invited email address. Someone new to MailShield gets an account this way.
  3. Click the Join button, which shows the organization's name.

Once they've joined, they appear under Members and the invitation disappears from Pending Invites. The audit log records it.

Managing Pending Invitations

Owners and admins can manage pending invitations under Settings → Team → Pending Invites:

ActionWhat it does
ResendSends the invitation email again, for example when it landed in spam
CancelRevokes the invitation link

If an invitation has expired, cancel it and send a new one.

Removing Members

  1. Go to Settings → Team.
  2. Open the menu (⋯) on the member's row.
  3. Select Remove and confirm.

The person loses access to the organization right away. Owners can remove anyone else; admins can remove members but not other admins. Nobody can remove the owner.

Members can also leave on their own: see Leaving an Organization.

Changing Roles

Only the owner can change roles.

  1. Go to Settings → Team.
  2. Open the menu (⋯) on the member's row.
  3. Select Make Admin or Make Member.

Transferring Ownership

Only the owner can do this, and only to an existing member.

  1. Go to Settings → Team.
  2. Open the menu (⋯) on the new owner's row.
  3. Select Transfer Ownership and confirm.

After the transfer, the new owner has full control, including billing, and you become an admin. Only the new owner can reverse it.

Troubleshooting

The Invitation Email Didn't Arrive

  1. Ask the person to check their spam or junk folder.
  2. Check the address under Pending Invites. If it's wrong, cancel the invitation and send a new one.
  3. Click Resend.

The invitation may have expired (after 7 days) or been canceled. Ask an owner or admin to send a new one.

"Email Mismatch" When Accepting

The person is signed in with a different email address than the one invited. They need to sign out and sign in with the invited address, or ask for an invitation to the address they use.

Monitor and secure your email domains.
